About the Company:
Our client is a highly successful entrepreneur and thought leader in media, marketing, and workforce inclusion. This exciting role offers the chance to support a CEO who is recognized as a leader in brand representation and equity advocacy.

Role Overview:
We are looking for a proactive, highly organized Executive Assistant/Project Coordinator to support the CEO in both professional and personal capacities. You will handle scheduling, meeting preparation, tracking deliverables, and assist with various projects, including public appearances and media engagements. This role reports to both the CEO and Chief of Staff.

Key Responsibilities:

  • Scheduling & Calendar Management:

  • Coordinate all professional and personal scheduling for the CEO.
  • Prepare agendas, track deadlines, and follow up on action items after meetings.
  • Meeting & Event Support:

  • Take notes during client calls and assist with meeting prep.
  • Coordinate logistics for the CEO’s speaking events, media appearances, and travel.
  • Assist in preparing materials for podcasts, video shoots, and client workshops.
  • Project Coordination:

  • Manage deliverables for the team of consultants working with the CEO.
  • Track client projects, industry news, and campaign assets.
  • Event & Media Prep:

  • Support the CEO in preparing for media appearances, including research, travel booking, and promotional content creation.
  • Track and organize press clips and appearances after events.
  • Administrative Support:

  • Organize both personal and professional travel for the CEO and team members.
  • Update internal documents, such as itineraries and event trackers.

    Qualifications:

  • Minimum 5 years of experience supporting senior executives (C-suite or similar).
  • Strong organizational skills, attention to detail, and experience managing complex calendars.
  • Proficiency in Google Suite, Microsoft Office, Canva, and content management systems like Wix.
  • Excellent written and verbal communication skills, with the ability to build strong internal and external relationships.
  • A proactive work style with strong problem-solving skills and the ability to handle multiple tasks in a fast-paced environment.
